Operations Coordinator

About the Role


Position Summary:

Nevus Outreach is seeking a highly organized and detail-driven Operations Coordinator to support the day-to-day administrative, operational, and data systems that keep our organization running smoothly.


This role blends administrative coordination, CRM, and donor data management, event logistics, and internal systems support. The ideal candidate is proactive, systems-minded, and thrives in a behind-the-scenes role that enables leadership and programs to operate efficiently and effectively.

Responsibilities:


In this role, you will:


Operations & Administrative Support (Primary Focus ~50%)

  • Coordinate internal meetings, staff scheduling, and occasional travel logistics

  • Send meeting invitations, confirmations, and reminders

  • Maintain shared organizational calendars and scheduling systems

  • Support leadership with administrative coordination and task follow-up

  • Organize and maintain internal files within Google Drive and shared systems

  • Format documents, reports, and presentations as needed


RM & Data Management (Primary Focus ~25%)

  • Enter and update constituent records in Bloomerang

  • Record donor interactions, notes, and engagement activity

  • Upload event attendee lists and manage donor imports

  • Support automations and integrations (Zapier workflows)

  • Monitor donation tracking and ensure data accuracy across systems

Fundraising & Reporting Support (~10%)

  • Assist with donation acknowledgments and tracking

  • Maintain donor reports and fundraising spreadsheets

  • Support campaign tracking and reporting efforts

  • Pull basic CRM reports for leadership and internal use

  • Compile data for board reports and organizational updates

Event Administration (~10%)

  • Maintain registration and RSVP lists for events

  • Track sponsorship outreach, contacts, and commitments

  • Coordinate vendor information and logistics

  • Maintain event planning documents and timelines

  • Support pre-event preparation and administrative needs

Compliance & Operational Oversight (~5%)

  • Maintain compliance across required states (fundraising registrations and employment requirements)

  • Track and maintain charity ratings and certifications (e.g., GuideStar/Candid)

  • Ensure insurance documentation and Certificates of Insurance (COIs) are current

  • Support documentation needed for audits and governance

Human Resources Support

  • Coordinate employee, contractor, and board onboarding processes

  • Manage contract signature requests and documentation

  • Track contract status and renewal timelines

  • Support employee and contractor evaluation tracking

  • Maintain training and compliance documentation


Qualifications:
  • Strong organizational skills with exceptional attention to detail

  • Experience in administrative support, operations, or nonprofit settings

  • Comfort working within CRM systems (Bloomerang experience a plus)

  • Ability to manage multiple tasks and deadlines simultaneously

  • Strong written and verbal communication skills

  • Ability to work independently and proactively problem-solve

  • Systems-oriented mindset with a focus on efficiency and accuracy

Bonus (not required):
Experience with nonprofit operations, donor databases, Zapier or automation tools, event coordination, or compliance processes.


Time Commitment & Compensation:
  • This independent contractor role is compensated at $18.00–$22.00/hour, based on experience

  • Anticipated 15-20 hours per week

  • Remote-first, with some availability during Eastern/Central U.S. business hours

  • Start Date: Early May

  • Initial evaluation period of 90 days, with opportunity for continued engagement

  • Required attendance to support the Nevus Outreach Conference, July 25-28, 2026
